Our vacancy An opportunity has arisen for a Part Time Client Services Team Member to join our Client Services team. Based in our Leeds city centre office, you will provide an excellent client care service to all external visitors and internal customers of Gateley Plc. Role and responsibilities Reception Meet and greet all Clients (internal & external) in a prompt, polite and efficient manner. Answer all internal/external telephone calls via the Mitel switchboard. This includes answering calls for all national offices when necessary. Arranging and accepting meeting room bookings for staff and external clients. Assist with travel arrangements for internal staff when required. Be responsible for photocopying / scanning / faxing documents as and when required. To keep the reception area clean and tidy at all times. To undertake first aid training in order to be a qualified first aider for the office. Hospitality This is a varied role and your duties will include: The day to day running of the kitchen and meeting rooms providing refreshments throughout the day for internal and external clients. Ensuring that the kitchen area is kept clean, tidy and meets current Health & Safety Compliance Regulations. Ensuring client meeting rooms and seminar room are maintained to the highest standard, as expected by the partnership at all times. Ordering breakfasts and sandwich lunches Liaising with partners with regard to food and wine requirements for client events and responsibility for booking external caterers. Covering morning / evening events when required. Liaise with caterers and suppliers regarding ordering of stock. There may also be a requirement to carry out duties from time to time that are not necessarily associated with your job title. Person Specification Good communication skills and confidence in dealing with people at all levels. Be a team player within the Client Services team. Ability to engage with clients and display exceptional customer service skills. Flexible, can-do/will do attitude to work. Experience within a law firm or professional services office is desirable but not essential as full training will be provided. High standard of professional appearance. Experience of using Mitel switchboard is desirable. Ability to utilise tact, discretion and diplomacy and maintain confidentiality at all times. Flexibility with regard to covering events held outside of office hours. Ability to work under pressure and to tight deadlines. Eagerness, efficiency and willingness to learn and go the extra mile when required. Able to use own initiative. Have excellent time keeping. Please note that a full uniform will be provided.
