Job description:
Job title. Logistics and Allocations Officer (responsible primarily for Allocations). Reports to. Head of Testing. Job purpose. To effectively plan, resource and allocate the UK Control Personnel in an efficient and cost effective manner, ensuring that we are providing World Class Control services. Job facts and figures. * Responsible for managing the allocation system of Control Personnel in testing urine missions. * Coordinate management responsibilities with the HR and the Testing team. * Operational decision-making responsibility on allocated projects of the Logistics team. Key result areas. * Use appropriate databases to ensure events selected for testing are resourced and communicated in a timely fashion. * Notify the relevant Personnel of the necessary details required for each urine mission in a timely fashion and monitor their attempts. * Provide day to day coordination of all field based Personnel,. * Coordinate and oversee the work of the Advisor for Allocations. * Develop the working relationship with the Testing team to coordinate the allocation of Personnel for testing urine missions across the UK. * Liaise with and contribute to the Logistics Support Group to improve the allocation process. * Liaise with the Finance team to resolve any discrepancies and problems regarding payment to Personnel. * Identify resource requirements and liaise with the HR team to contribute to a sustainable recruitment plan for Personnel and organise any in-field training and assessment sessions. * Oversee the day-to-day management of the on-line portal; developing a document management system and providing appropriate news updates. Policy and Procedures. * Adhere to agreed policies and procedures for the effective operations of the Logistics Team. Participate and where appropriate lead the review and development of specified Operations business procedures and processes. * Support the development of policy on testing programme issues and contribute to the ongoing continual improvement of the Testing & Logistics Team and control resource scheme. Key internal and external contacts. * Internal Personnel. * Testing & Logistics Team. * Logistics Support Group. * HR team. * Finance team. * Advisor on allocations. * Internal and External Auditors. * Staff in International Organisations and other relevant sports bodies. Person specification. Proven experience of the following:. * Educated to a degree level or equivalent. * Minimum of 2 of carrying out co-ordination type roles, high level planning and monitoring responsibility with the ability to work to multiple tight deadlines within a time pressured environment, producing high quality results. * Ability to balance and prioritise a demanding workload, remaining calm under pressure. * Successfully developing and managing positive working relationships with a range of contacts in a similar challenging environment. * Effective use of high level negotiating and influencing skills - rapport building and a persuasive manner!. * Hands on experience of managing database systems. * Good attention to detail, high level analytical and problem solving skills including the ability to calculate risk and take decisive action. * Ability to effectively manage field based Personnel. * Ability to manage sensitive and confidential information. * Interest in sport and knowledge of how it functions in the UK. Additional information. Working hours are 36 hours a week although flexibility is required in order to ensure core objectives are achieved. Occasional out-of-hours work, particularly responding to media enquiries, and some travel throughout the UK may be required. This job specification should not be regarded as exclusive or exhaustive.
