JOB TITLE: Administrator JOB SPECIFICATION: Providing specialized administrative support to the Partner ROLE DESCRIPTION: ·      Specialized administrative support, including: producing Illustrations; composing and typing basic Suitability Letters; deciphering Fact Find information and inputting it onto the computer; processing application forms ·      Maintaining accurate computer records ·      Updating Excel documents ·      Managing business pipeline ·      Telephone liaison with Administration Centres and Paraplanner ·      Chasing financial institutions to provide requested information  ·      Telephone coverage, handling calls in a professional manner, answering clients’ queries where possible, passing on detailed telephone messages in a timely manner ·      Diary management ·      Providing holiday cover for colleague Technical knowledge and experience ·      Educational standard A-Levels (minimum) ·      Experience of working within the Financial Services sector is essential ·      Financial qualifications such as the Paraplanning or Advisory exams would be an advantage Systems Skills ·      Accurate typing ·      Outlook experience ·      Advanced Microsoft Word and Excel ·      Knowledge of SWIFT would be an advantage Personal Attributes ·      Excellent interpersonal and communication skills ·      Good written English ·      Pleasant telephone manner and a liking for this means of communication ·      Ability to be clear and concise when passing on information ·      Strong organizational skills; able to multi-task and prioritise  ·      Ability to use own initiative, be proactive and think quickly ·      Able to maintain confidentiality at all times and to handle sensitive matters ·      Exceptionally high attention to detail ·      Persistence, with an ability to find a way around obstacles  ·      Willing to follow existing proven procedures ·      Composure under pressure ·      Flexible and adaptable attitude; able to work additional hours when required ·      Smart, professional appearance at all times
